Connect Calendaring, powered by Google, is taking off at UC Santa Barbara!  The Connect Calendar community now includes 3,786 colleagues and that number continues to grow each day.  Much of this growth came from the successful migration from Oracle Calendar (Corporate Time) last month.  We are pleased to see continued adoption of the Connect service across the campus.

To access your Connect Calendar and always have the most up-to-date news & information, launch your Connect Calendar from the portal at http://www.connect.ucsb.edu.

Are you ready to AMPLIFY your Connect Calendaring experience?  Here are some Tips & Tools to supercharge your Connect Calendar use.

 

1. Invite the Right Guest to the Event

WHAT

Will the real Slim Shady please stand up?  Most UC Santa Barbara employees have multiple email addresses, but every Connect Calendar customer has a @ucsb.edu email address.  Use this email address to ensure proper delivery of event invites.

HOW

When you add guests to an event, all matching contact information will display.  Simply choose their @ucsb.edu email address.  That’s it!

 

2. Toggle between Google Accounts

WHAT

Many of us have multiple Google accounts.  Luckily, Google makes it easy to toggle between your accounts. Just make sure you are accessing your @ucsb.edu Connect Calendar account.

HOW

In the upper right hand corner of your browser click your Account icon, then select your @ucsb.edu account from the drop down menu.  If your @ucsb.edu account is not available, simply choose “Add Account” and follow the prompts.

 

3. Find a Time That Works for Everyone

WHAT

Scheduling meetings can be tedious when everyone is as busy as you. The “Find a Time” feature is there to make your life easier.   This feature lets you view free/busy information for all meeting attendees.  Remember to be a courteous guest and respond to all event requests.  This will ensure attendees’ Connect Calendar free/busy information is up to date.

HOW

After you add attendees to a meeting, simply select “Find a time”.  That’s it!  You are now able to view Free/Busy information for all event attendees.

 

4. Jump to Any Date You Want

WHAT

Google Calendar has an excellent search utility -- naturally -- but you may find yourself wanting to browse through a particular day's agenda to see what events occurred or what appointments you have scheduled. Clicking through months to find the day you need can get cumbersome fast; instead, jump to the date you want to view directly.

HOW

Click Calendar's gear icon, go into Labs, and enable the aptly named "Jump to date" option. It'll put a convenient box on the side of your Calendar that lets you quickly input any date and jump right to it -- no scrolling required.

 

5. Make Upcoming Meetings Impossible to Miss

WHAT

Meetings are important -- allegedly, at least -- so why chance missing your next appointment?  In addition to its regular reminders, Google Calendar has an optional "Next meeting" module that'll put a countdown to your next appointment at the very top of your calendar.

HOW

Click the gear icon and head into the Labs section. Enable the item labeled "Next meeting", and click the Save button at the bottom of the page. Voilà! Your personal countdown clock is now in place and ticking away to the next exciting item on your agenda.

 

6. Get a Daily Agenda in Your Inbox

WHAT

Do you live in your Inbox? If so, you might find it helpful to get a daily agenda of your Google Calendar appointments delivered via email.

HOW

Click the gear icon on the Calendar home screen and select Settings, then click the Calendars tab at the top of the screen. Next to the calendar you want, click the link labeled "Edit Notifications". On the next screen you will see the “Daily Agenda” option at the bottom of the page. Select the checkbox, click Save, and you’re finished! Starting the next day, you will receive a list of your daily appointments at 5 a.m. each morning.
